I am the office administrator for a 220-person company. I manage all facilities and MRO ordering—roughly $180,000 annually across 8 vendors. I report to operations and finance. Circuit breakers: the catalog is the compatibility map
According to Eaton (eaton.com), molded-case circuit breakers are selected by frame size, trip unit, interrupting rating, voltage, and terminal type. - For an hvac controller, confirm voltage, transformer VA, staging, and communication requirements.
- For a belkin 6-way surge protector, confirm what it protects: connected equipment only, not the panel.
- For filters, write the airflow direction on the unit and photograph it. The arrow goes toward the blower.
- Require an invoice and a spec sheet for every order, even small ones. If a vendor will not provide them, that is a signal.
According to NFPA 70 (NEC), equipment must be listed and installed according to its instructions. According to UL 943, GFCI devices are tested to specific standards. Verify current listings and local code before installation.
Prices and availability change. The catalog is the source of truth. So is the panel label, the unit nameplate, and the manufacturer's installation manual. Check those before the PO, not after the electrician is already on site.
I am not 100% sure that every small purchasing team needs a formal spec template. But I am sure about this: the cheapest part is rarely the lowest total cost. And the small order you handle well today is probably the vendor relationship—or the internal reputation—you depend on tomorrow.
